Caesar Events Houston Terms of Agreement
Acceptance: This Rental Agreement is entered into as of date of signed order, by and between Caesar and Customer named above. By confirming the order via virtual signature or email, Customer acknowledges and accepts the terms and conditions outlined in this agreement and the accompanying estimated quote.
Reservation Deposit: A non-refundable equal to 50% of total fee under this agreement is required to secure the rental items and your event's date(s). The remaining balance is due no later than thirty (30) days before the scheduled event date(s).
Cancellation Policy: If Customer cancels the order seven (7) days before the scheduled event date, a cancellation fee equal to fifty percent (50%) of the total rental fee will apply. If Customer cancels the order one (1) day before the scheduled event date or on the event date, a cancellation fee equal to one hundred percent (100%) of the total rental fee will apply. No refund will be issued. No exceptions. However, if Customer cancels the order due to unforeseeable event beyond their control, such as natural disaster (e.g., storm, fire), or the unavailability of the event site, Caesar will assess the circumstances and may issue a credit to Customer equal the total amount paid. The credit can be applied toward rescheduling one event at a mutually agreeable time, subject to Caesar's calendar availability. The credit must be utilized within one (1) year from the original order date.
Union Labor and Venue Restrictions for Conventions: Caesar will not be liable or responsible for any arrangements and/or fees for venues that require union labor for setup, breakdown, and other special material handling requirements. Client is responsible for all associated fee, costs, and permits necessary to facilitate Caesar's operations. Any delays or inconveniences in setting up the event due to such requirements may result in additional charges to the Customer due immediately.
Self-Pickup Policy: Caesar operates Monday - Thursday, 8:00 AM - 4:00 PM, and on Fridays 8:00 AM - 1:00 PM. Special pickup arrangements outside these hours must be made at least three (3) days before the scheduled event directly with Caesar's office. Additional fees may apply for after-hours pickups.
Pickup Requirements: Customer's Drivers and/or Customer must provide a valid ID and a copy of a signed order. Ordered items under this agreement will not be released otherwise.
Inspection of Order: Customer is responsible for inspecting all furniture upon pickup or delivery. A confirmation of satisfactory condition must be signed at the time of delivery or pickup. Any damages identified after this confirmation will be the Client's responsibility, and additional charged may apply.
Linen Rentals: All linens must be returned in the provided bags or hangers, free from debris, food, or any other items. Linens returned with stains, tears, or any damage may incur additional charges for replacement, extra handling, and care required by Caesar.
Delivery and Transportation: It is Customer's responsibility to provide Caesar at the time of the order the exact delivery address and disclose any conditions that may affect the delivery process, such as stairs, slopes, or long distance from the unloading/uploading area to the setup site. Additional charges may apply for deliveries involving extra time and crew. Deliveries or pickups of the order between 5:00 PM and 8:00 AM, Monday - Friday, or weekends will incure an additional charge of $350 to cover Caesar extra costs.
Rental Period: The standard rental period is three (3) days from the day and time of drop-off or pickup. Any extension beyond this period will be charged at 100% of the item's rental rate per day. Caesar reserves the right to request the immediate return of furniture. Unreturned Equipment: Items not returned within ten (10 ) days of the scheduled pickup date will be considered a total loss and a breach of contract. In such cases, Caesar will issue an immediate report and seek damages not limited to the full replacement cost of the unreturned items under this order and any other extra order.
Liability and Indemnification: Customer agrees to indemnify ad hold harmless Caesar from any claims, damages, or losses arising from the use of the rented furniture during the event. Caesar is not responsible for any injuries or damages resulting from the misuse of the rented items under this agreement and/or extra order.
Governing Law: This Agreement shall be governed by and construed in accordance with the laws of the state in which Caesar operates, without regard to its conflict of law principles.
Entire Agreement: This Agreement constitutes the entire understanding between the parties and supersedes all prior agreements, representations, or understandings, whether written or oral, concerning the subject matter herein. Amendments and Extra Orders: Any amendments or modifications to this Agreement must be made in writing and signed by both parties.
Severability: Any provisions of this Agreement is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
